Step-by-Step Check-In Process

1. 🧾 Booking Confirmation

Daily Ezee Booking Manager Check

  • Log in daily to the Ezee Booking Management Tool to review auto-generated bookings from the Zo Club App.

    • Most bookings are auto-generated; verify for each:

    • Guest name & contact info

    • Room type & duration

    • ID proof

    • Payment status

ID Proof Collection

  • Ensure guest ID is uploaded.

  • If missing, contact guest to collect and upload ID.

Record Accuracy & Visitor Setup

  • Confirm guest details in Ezee.

  • Ensure ID proof is uploaded.

  • For any +1 visitors:

    • Explain house rules

    • Send Visitor form to sign in.


2. Pre-Arrival Communication (1 Day Prior)

Guest Reachout

  • Guest may reach out to confirm ETA or special requests.

Preparation

  • Monitor ETA and ensure room is:

    • Cleaned

    • Stocked

    • Ready for check-in


3. Day of Check-In

House Captain Check-In Flow

  • Manually check the guest into Ezee Booking Manager.

  • Verify guest ID in person.

  • Collect any remaining payment (UPI / Card / Crypto).

  • Offer to assist with luggage.

  • Give the guest a house tour:

  • First-time guests may directly call the Captain if needed.

Access Setup

  • Issue access card. (Note that loosing the card will be chargeable)

Orientation

  • Share Wi-Fi credentials.

  • Food Ordering:

    • Show QR codes for food in room.

  • Geyser: Brief on 15-minute warm-up time.

Community Engagement

  • Share BLRxZo event calendar.

  • Encourage RSVP and participation.

  • Add guest to BLRxZo Live TG group.

4. Post Check-In

Follow-Up

  • Check in with the guest later in the day to ensure comfort.

Event & Travel Engagement

  • Interact in TG group.

  • Remind them of event RSVPs.

  • Ask about their stay goals.

  • Suggest:

    • Local eateries

    • Sightseeing spots

    • Personal recommendations

Stay Summary

  • Review:

    • Room charges

    • Add-on services

  • Manually check out in admin portal.

  • Revoke room access.

  • Collect Room access card

Payment Collection

  • For any pending payments:

    • Accept via UPI / Card / Crypto

    • Confirm & issue receipt

  • Take a selfie with the guest (with consent).

  • Share in BLRxZo TG + upload to admin profile.

  • Gift:

    • 1 Cultural Zo Sticker
